Privacy policy
Version 1.0 | Effective October 12, 2026
MyAnnualCalendar is a shared calendar for families, teams and Entrepreneurs, made by NorthPointe LLC ("we", "us"). This policy explains what we collect, why, who helps us run the service, and the choices you have. NorthPointe LLC is the controller of the information described here, which means we decide how it is used and are responsible for it. We keep only what the service needs, and we never sell your information.
1. What we collect
- Your account: your name, email address, the accounts you belong to and your role on each, your settings (time zone, colors, the hours your day shows), and a profile photo if you add one.
- What you put in the service: events, reminders, chores, Daily To Do's and whether they were checked off, birthdays, categories, notes, the tasks in My Work, and Projects and their tasks.
- Dictations: if you use Dictation in MAC Pocket, the text of what you said and the tasks found in it. The recording itself is not kept (see section 4).
- People you add: names and email addresses of people you invite, and for children, a first name, a birth year (optional), a username and a PIN. We store PINs only in scrambled (hashed) form.
- Connected calendars: if you connect Outlook or Google, the events on the calendars you choose, and the access key that lets us keep them in sync (see section 3).
- Weather: the city you choose for the weather card. We do not collect your device's location.
- Phone alerts: if you turn them on, the push address your browser gives us for each device.
- Billing: your plan and its status. Payments are taken by Paddle; we never see or store card numbers.
- Service records: sign-in times, a record of important changes, and error logs, used to keep the service secure and working.
2. How we use it
We use your information only to provide the service: to show your calendar to you and the people you share it with, to sync with the calendars you connect, to send the reminders and emails you ask for, to run billing, to keep the service secure, and to answer support requests. We do not use your information for advertising, and we do not sell or rent it.
Where the law asks for a legal basis (for example in the UK or the European Union), we rely on: performing our contract with you (running your account, calendars, sync, reminders, Dictation and billing); our legitimate interest in keeping the service secure, working and supported; the consent of a parent for a child's account and your consent for anything optional you turn on, such as phone alerts or a connected calendar, which you can withdraw at any time; and meeting legal duties, such as keeping billing records.
3. Google and Microsoft calendar data
When you connect a Google or Microsoft (Outlook) account, you choose which calendars sync. We read and write events on those calendars only to keep them in step with MyAnnualCalendar, and, if you ask, to import birthdays once. The access key the provider gives us is stored encrypted in a secure vault and is used only by our sync service. You can disconnect at any time from Settings; we then stop syncing and erase the access key, and events that came from that account are taken off your calendar here. You can also remove our access from your Google or Microsoft account settings.
Google API Services. MyAnnualCalendar's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. No information from Google Calendar or Outlook is ever sent to our AI provider. We do not use Google user data to develop, improve or train generalized AI or machine learning models, we do not use it for advertising, and people at NorthPointe do not read it except with your permission, for security, or as the law requires.
4. Dictation
Dictation lets you say your tasks out loud in MAC Pocket instead of typing them. It is optional, available to grown-ups only (never on a child's account), and works only while you press Talk. Here is what happens:
- Recording. Your phone or computer asks your permission to use the microphone the first time. It records only between Talk and Stop, for up to 3 minutes.
- Turning speech into text. When you tap Stop, the recording is sent to our server and on to our AI provider, which turns it into text. We do not store the recording: once the text comes back, the recording is thrown away.
- Finding the tasks. The text, today's date, your time zone, and the names of your open Projects and of the people on your account are sent to our AI provider's model, which picks out the tasks, any day you mentioned, and a likely Project or person. Anything that doesn't match a real Project or person on your account is dropped.
- What we keep. We save the text of what you said and the tasks found, in your account. Only you see your dictations. Nothing is added to your calendar, My Work or a Project until you place each task yourself.
- Deleting. You can delete a task from a dictation, or the whole dictation, at any time.
Our AI provider processes this information for us as a service provider. Under its terms for business use, information we send is not used to train its models, and it may be kept for up to 30 days to detect abuse before it is deleted. Each account has a monthly Dictation allowance, and the app tells you when you are close to it.
5. Who can see your information
People on your account see the calendars their role allows. An event marked private shows as "Busy" to others. Children see only their own day. Entrepreneurs and the team members assigned to a client see that client's calendar. A client sees that client's calendar and can add their own events to it; the guests they invite see it, view only. Vendors see only the dates they are part of. When the Entrepreneur archives a client, the client, their guests and the vendors lose access until it is restored.
6. Companies that help us
We share information only with service providers that run parts of the service for us, under contracts that limit their use of it to that work. They include:
- Hosting and storage: the companies that host our database, sign-in, files and website, and keep our backup copies.
- Email: a provider that sends our invitations and account emails.
- Payments: Paddle, our reseller and merchant of record, handles payments, taxes and invoices.
- Dictation: an AI provider that turns recordings into text and finds the tasks in them (section 4), only when you use Dictation.
- Weather: a forecast provider, sent only the position of the city you choose.
- Parental consent: a provider that verifies a parent's consent before a child's account is created.
- Google and Microsoft, only when you connect them, to sync your calendars.
To ask for our current list of providers, write to us at the address below.
We may also disclose information if the law requires it, to protect people's safety, or as part of a sale or merger of the business, in which case this policy continues to apply.
7. Children
Children's accounts are created only by a parent or guardian on a Family Plan, after that parent gives verifiable consent. A child account holds a first name, an optional birth year, a username and a hashed PIN, plus the events and chores the family puts on it. Children cannot invite people or change the plan. A parent can review, change or delete a child's information at any time from Members, and can withdraw consent by removing the child. Write to us at the address below with any question about a child's information.
8. How long we keep it
We keep your information while your account is open. Removed events, calendars, tasks and dictations can be brought back for 30 days; after that you can no longer restore them, and they are erased with the rest of the account's information when the account is deleted, or sooner if you ask us (section 10). If a free account has no sign-ins or changes for 90 days, we email its owners; if it is still unused 30 days later, we archive it. When you close an account, or an unused one is archived, it is hidden but can be brought back for 12 months; we email the owners 30 days before the end, and then we delete its information, except billing records we must keep by law. Paid accounts are not archived for being unused. Dictation recordings are never kept (section 4). Backup copies are kept for up to 12 months and then deleted.
9. Security
Information is encrypted in transit and at rest. Each account's data is walled off from every other account at the database level, and we test that wall regularly. Access keys for connected calendars are kept in an encrypted vault. Staff access is limited to what is needed to run and support the service.
10. Your choices and rights
You can see and change your information in the app, and ask us for a copy of it or to delete it. Depending on where you live, you may have the right to access, correct, delete or move your information, or to object to some uses. Write to support@myannualcalendar.com and we will answer within 30 days. If you live in the UK or the European Union, you can also complain to your local data protection authority.
11. Cookies and browser storage
We do not use advertising or tracking cookies. The app keeps a few things in your browser's own storage so it works: your sign-in, which screen you were on, and choices such as your colors and how long this device stays signed in. Paddle's checkout uses its own cookies to process a purchase securely. Clearing your browser's storage signs you out and resets those choices.
12. Where your information is stored
Our service is run from the United States. If you use it from elsewhere, your information is transferred to and stored in the United States.
13. Changes
If we change this policy in a way that matters, we will tell you in the app or by email before the change takes effect, and the version number above will change.
